How to facilitate clear communication amongst Scrum Teams

Effective communication is crucial for every team, especially in Agile organizations. An Agile organization focuses on teamwork, flexibility, and delivering value to customers. To thrive in such environments, you must ensure that your team members, stakeholders, and customers can communicate efficiently and promptly. In this article, we will look at some helpful ways you can facilitate clear communication among Scrum Teams.

What is clear communication?

Clear or Effective communication, in an academic context, can be defined as the process wherein a sender conveys a message to a receiver in a manner that ensures the receiver accurately comprehends the message's intended meaning. Communication is inherently a two-way exchange, and this definition underscores that effective communication minimizes disturbances or "noise" between the parties involved. 

The idea of "noise" might seem peculiar in human interaction, but it becomes clear when considering a scenario where you're attempting to explain a complex concept to someone. If you fail to use the right words and examples, the other person may leave with a completely different understanding than what you originally intended. In some cases, “unclear” views can also create instability in the Scrum Team. In such cases, communication can be deemed ineffective.

Now, the essential question is how to enhance the effectiveness of communication. Let's see in the next section.

Tips to facilitate clear communication

Creating a Positive Environment by Removing Conflicts

Conflict is a part of teamwork that everyone faces sooner or later. Many people view conflicts as negative, assuming they always lead to intense emotional showdowns. However, this isn't true when conflicts are handled correctly. From an academic standpoint, a conflict is simply a difference of opinion or a clash of interests. But sometimes conflict goes beyond just “not agreeing with each other phase.” Sometimes, we unknowingly create conflicts that can cause obstacles in communication. 

Here are some common examples of how you could foster conflicts unknowingly:

Sarcasm – Mocking to make fun or ironic remarks that can further exacerbate tensions. A team should have a “happy” environment, but making fun of someone can go over the line easily.

Aggressiveness – Being angry at someone for not working properly and Responding with anger or getting easily frustrated is totally different. It can create a hostile environment. Always maintain a calm demeanor, even in some bad situations, as it reflects your composure and leadership.  

Defensiveness – Reacting defensively and refusing to consider alternative viewpoints, which can prolong conflicts. Make sure your team is getting heard, sometimes even if you don’t agree with them.

Misdirection – Avoiding the core issues by diverting the conversation away from the actual conflict, preventing a resolution.

Here are some tips to resolve conflict in a team:

  • Listening to the other party is crucial. In conflicts, parties often stop listening and keep repeating themselves, which doesn't help. The best way to resolve conflicts is to reopen communication.
  • In a conflict, everyone believes they're right. It's helpful if parties try to understand each other's point of view, especially in heated conflicts. 
  • Resolving conflicts often involves finding a middle ground, a process known as "log-rolling." It means trying to reach a compromise that all parties can accept. 
  • Some conflicts are impossible to resolve when you're deeply involved. In those cases, seeking help is a realistic option. That's why having a trained Scrum coach skilled in conflict resolution can be valuable.

Utilize Appropriate Tools

Effective communication within Agile and Scrum environments presents a challenge due to the diverse modes, channels, and formats it entails. Depending on the situation and the audience, you might find yourself communicating verbally, visually, or in written form. Additionally, various tools, including video conferencing, chat applications, project management software, and whiteboards, may be necessary to convey information and gather feedback. 

To streamline communication in Agile and Scrum, it's essential to employ the right tools for specific purposes and ensure everyone has access to them. Establishing norms and guidelines on their effective use, such as knowing when to mute your microphone, how to document decisions, or how to address conflicts, is also crucial.

Be Simple, Be Clear

Dealing with complex, technical, or unclear information is another challenge. You might need to talk about your product's features, how you work, or project issues and solutions. 

To improve communication, keep things simple and clear. Use plain language, avoid jargon and acronyms, and explain unfamiliar terms. Use visuals, examples, or stories to illustrate your points, and make sure your message is understood by checking for feedback or questions.

Do Rituals and Ceremonies

One challenge in Agile and Scrum communication is dealing with different timeframes and project phases. Depending on your project's scope, you may have various deadlines and stages like planning, execution, review, and reflection. To enhance communication, make use of rituals and ceremonies. Stick to a regular schedule, such as daily stand-ups, Sprint Planning, reviews, and retrospectives, to share your progress, goals, accomplishments, and challenges. Value these rituals as chances to collaborate, celebrate, and learn together.
